Managing hundreds of projects and coordinating award submissions across dozens of clubs turned into a logistical headache—manual processes, scattered paperwork, and missed opportunities to properly showcase the incredible work being done.
Seeing how much potential was being held back, Pharaoh Soft decided to step in not just as a vendor, but as a long-term partner, by fully sponsoring the development and implementation of a digital platform tailored specifically for Rotary EG as part of Pharaoh Soft CSR.
Our goal? Eliminate the bottlenecks, bring clarity to their project data, and make awards participation simpler and more accessible for every club, all while ensuring the remarkable efforts of Rotary EG members get the recognition they deserve.
The challenge
Bringing Structure and Visibility to Rotary EG’s Expansive Operations
Managing a network of over 120 clubs, each executing numerous community projects annually, is no small administrative task. Rotary EG’s commitment to service is unmatched, but their management processes were, until recently, rooted in manual workflows—think Excel sheets, paper submissions, and countless back-and-forth communications.
Here’s where the friction emerged:
• Projects Documentation: Clubs carried out life-changing initiatives, yet the manual reporting often resulted in delayed submissions, inconsistent records, or worse—underrepresentation of real efforts on the ground.
• Awards Participation Complexity: The Rotary Foundation incentivizes club participation through district-level awards programs. Winning clubs gain recognition, certificates, and increased visibility within Rotary’s global ecosystem. However, to apply, each club had to fill out cumbersome offline forms, compile documentation manually, and submit everything to district coordinators—creating bottlenecks, administrative overhead, and occasional misrepresentation of club contributions.
One member remarked, “We had clubs doing phenomenal work on the ground, but with no proper presentation of this effort we fail to show non-Rotarians the real effort done by the EG team on the ground, encourage companies, individuals to participate in our community projects” The process didn’t just consume time, it also unintentionally discouraged participation from non Rotarians.

PS collaborated closely with Rotary EG leadership to design and develop a custom, user friendly platform—delivered as both a web portal and mobile app—to centralize all project and awards management processes.

• Digital Awards Application Workflow: Clubs seamlessly apply for district awards directly through the platform, eliminating offline forms, paperwork, and manual coordination.
• Enhanced Presentation: Projects are showcased beautifully on Rotary EG’s official website, reflecting the real impact being made, while providing transparency and easy public access.
• Mobile Accessibility: Recognizing that Rotary members are often on the move, the mobile app allows real-time project updates, submissions, and notifications—anytime, anywhere.
